GROUP RELATED
POLICIES |
|
Arrival
|
|
For the sake of billing accuracy and possible emergency notification, guests,
including commuters, are requested, upon arrival, to check in at Business
Services individually except in the case of immediate family members and
youth/children's groups that will be paid for under one bill. In these cases
the individual responsible for their room must check in to verify rooming
assignments for all members of their group. Moving of a guest(s) from one unit
to another must be arranged at Business Services. Guest check-in begins at
3:00 PM, unless otherwise noted in the "Notes & Special Provisions"
section of their contract. In some instances rooms may not be available until
6:00PM. Keys for guests who arrive after the Business Services Office closes
will be left just outside the door in an envelope with their name on it. |

Checkout |
|
Checkout time is 11:00 a.m. for all lodging and conference space unless
otherwise noted on the Conference Space & Scheduled Events list in the
Lodging & Conference Information portion of their contract and/or the "Notes &
Special Provisions" portion of their contract. Keys must be turned in by this
time. Late fees will be charged to the group or family occupying a lodging
room that is not vacated by 11:00 a.m. and /or a conference space that is not
vacated by noon. For lodging space, the late fee for the first hour is $10.00,
with $5.00 being charged for every hour after that up to the cost of that
room. The standard conference room late charge will be $40.00 per hour for
every hour past 12:00 p.m. This charge can be rounded down to the half-hour.
These charges help pay for additional HVAC, lighting and extra staff needed to
do a faster turnover. All individual and group bills must be paid in
full upon checkout. Groups may make arrangements with Financial Services at
least five working days prior to arrival for minimums to be paid at checkout
and the balance to be billed.
Commuters should also check out at Business Services on the last day of
attendance for an event.

Dining Hall |
|
Meal times are- Breakfast 7:30-8:30, Lunch 12:00-1:00, Supper 5:30-6:30,
unless otherwise contracted. Windermere reserves the right to reschedule meal
service times to facilitate service to all guests. |
|
Discipline |
|
Guest discipline and conduct is the responsibility of the conference
coordinator. The conference coordinator does not have the authority to waive
Windermere policies. |
|
Employees |
|
All Windermere employees are assigned specific responsibilities. Employees are
responsible to their supervisors for the performance of their assigned jobs.
They are not free to leave their jobs unattended to work elsewhere. Please
request assistance through the Business Services Office. |
|
Exhibits |
|
Displays and exhibits are limited to conference room areas. Fire restrictions
forbid use of hallways, exits, and other public areas for displays or
conferences. The use of extension cords should be limited, and all such cords
must be properly secured for safety reasons. |
|
Faxes
|
|
Faxes may be sent or received (573-346-7612). Faxes sent cost $1.50 for the
first page and $1.00 for each additional page. See Business Services. |
|
Forms |
|
Only the current Windermere Medical Release, Edge Release and Cave Tour
Release Forms will be accepted. All attendees under the age of 18 must have a
signed medical release form and turn it in at Business Services upon arrival in
order to stay on the grounds. It is highly recommended that adults fill out
and turn in the same form in the event that emergency care is needed.
Absolutely no one will be allowed to participate in The EDGE or the Windermere
Cave Tour without a properly signed Edge Release Form or Cave Tour Release
Form. All persons under the age of 18 must have a parent/guardian signature in
order to participate; sponsors, pastors, or other such leaders may not sign in
place of the parent/guardian. Unless the proper medical release form is
provided for guests under the age of 18, Windermere can only provide medical
assistance in the case of a life-threatening emergency. |

Gift Shop & Lakeside Grill
|
|
The hours of operation will vary by season and schedule(s) of the groups on
campus. Please contact Business Services to ascertain posted hours and/or to
request specific hours. |
|
Lodge Cooking |
|
The Deer Ridge, Lake View & Spring Valley Lodges have fully equipped kitchens
that may be used to prepare meals for the occupants of those facilities.
However, because neither of these buildings nor our operation are designed to
accommodate the load, cooking of meals in these facilities will not be allowed
for large groups. Cooking of meals will only be permitted for groups whose
total expected attendance is no larger than the stated capacity of the largest
Deer Ridge, Lake View or Spring Valley Lodge kitchen/conference room assigned
to the group. |

Recreation |
|
Gym |
|
The gym is sometimes used for additional large group conference space and may
be contracted as such. If your group desires to use the gym you will need to
confirm with Business Services that it is available. If not contracted, it will
be open for "free time" use during the hours of 12:00 noon until 5:00 p.m.
This time is available on a first-come, first-served basis and no group has
priority over another. Possible exceptions to this may include the situation
where only one group is on the grounds and they would like to adjust the hours
to accommodate their schedule. Balls and other equipment will be available for
rental from the Business Services Office during these hours. If exclusive use is
desired, other hours may be reserved at a rate of $35.00/hour for groups
lodging on grounds and $50/hour for off grounds groups, and should be
scheduled prior to arrival. This fee includes two basketballs; other equipment
may be rented from the recreation office. The available gym rental hours will
be from 8:00 a.m. until 12:00 noon and from 5:00 p.m. until 30 minutes prior
to the applicable curfew for the dates reserved. |

Pool |
|
Minors must
be attended by an adult during "swim at your own risk: hours. All hours are
"weather permitting". Exclusive use of the pool during normal hours is not
allowed. Please do not plan your organized recreation to use the pool during
normal hours. Pool parties are available after normal hours only by advanced
reservation through Business Services. Pool parties are not available on Sunday
mornings. |

Boat Dock |
|
Boat dock prices are in addition to lodging.
Call ahead for rates or to request a brochure. All hours are "weather
permitting". All equipment is available on a first-come, first-served basis. The Boat Dock will determine charges for any
damages to the equipment rented. Prices may vary and are subject to change. |
|
Security |
|
A security guard is available twenty four hours a day and seven days a week.
At night, the guard is responsible to patrol the grounds, answer emergency
calls, assist guests after the office is closed, do maintenance calls, enforce
curfew, and lock buildings. The guard phone number while on the grounds is
2888. |
|
Signs |
|
Arrangements for hanging banners must be made through the Audio/Visual &
Setups office. Grip strip sign holders are attached to the wall next to the
door. No tape, screws, or nails are to be used on floors, doors, walls, or
ceilings. The use of duct tape on floors will result in a damage fee being
assessed regardless of whether the adhesive is immediately apparent. Gaff tape
is available for an additional charge through the Audio/Visual & Setups
office. Use plastic-tack for posters on wall and door surfaces. All
plastic-tack, posters, signs and banners need to be removed when the
conference is over. |
|
Sponsors |
|
Sponsors should be at least 18 years old, and preferably 21. If the group
includes both boys and girls, a sponsor of the same sex will be required for
each seven boys or a portion thereof, and for each seven girls or a portion
thereof. Sponsors are required to stay in the facilities with their young
people and to be responsible for their group attending the scheduled programs. |

Video |
|
The Motion Picture Licensing Corporation requires the owner's permission for
Viewing large group viewing. Showing a video without the owner's permission
can result in a fine. |
|
GUEST RELATED POLICIES |
|
These policies relate to individual guest responsibilities. They can also be
found in Your Guide to Windermere. The Conference Coordinator is
responsible for communicating and maintaining compliance with these policies
within their group. |
|
Alcohol/Drugs |
|
Use or possession of alcoholic beverages and controlled substances without a
prescription are forbidden. Guests in non-compliance will be asked to leave,
will forfeit any right to refund, and may jeopardize the invitation of their
group to return to Windermere. |
|
Campfire |
|
Campfires should be scheduled in advance of your conference. Campfires are
located in the Vesper area, Cedar Grove, Lake View and Spring Valley. To have
Windermere set up the fire and light it, the cost is $25.00. To set up your
own with Windermere providing the wood only, the cost is $15.00. This includes
unlimited firewood for one use. Campfires scheduled seven or less days from
arrival may be subject to a premium charge. |
|
Curfew |
|
There is an 11:30 PM curfew. All guests, including sponsors, need to be in
their rooms by this time. Quiet time begins at 11:00 PM. Curfew is extended to
12:00 midnight on Friday and Saturday nights. |
|
Dress |
|
Clothing will be modest and appropriate for a Christian atmosphere. Shorts,
skirts, or dresses that are extremely short are inappropriate. All females'
swimsuits MUST BE ONE PIECE or have a cover worn over them at all times. All
males' swimsuits must be trunk type; no "Speedo" type swimsuits are allowed.
Noncompliance with this policy will not be tolerated. |
|
Firearms |
|
Possession of firearms and fireworks of any nature are forbidden. |
|
First Aid |
|
The first aid station is located in the Cedar Grove cottage unit beside the
Harding Auditorium, rooms 177-178 ext. 2178. Windermere is not required by
state law to provide medical services; however we will make every effort to
have a person who is able to administer basic first aid while guests are on
the grounds. |
|
Food/Drink |
|
No food or drink is allowed inside of Harding Auditorium or the Gymnasium of
the Multi-Purpose Building. |
|
Lake Swimming |
|
NO SWIMMING IS ALLOWED IN THE LAKE. The ski beach is to facilitate skiers in
having easy access to the water. Skiers using this area should be cautious and
be in the water only up to the waist. |
|
Lost & Found |
|
Items that are found in the buildings or on the grounds are placed in
lost-and-found. Please contact Business Services concerning lost and found
items. |
|
Medical |
|
Windermere Baptist Conference Center provides a limited medical incident
reimbursement. First Aid or the Business Services Front Desk must be notified of
all medical incidents that occur on the premises. Medical protection is
provided to cover medical expenses for the volunteer workers and guests while
at Windermere Baptist Conference Center or conference-sponsored activities
away from the conference center. If you are a camper, then you are provided
medical coverage on an excess basis. In addition, an accidental death benefit
may be provided for any covered individuals. Windermere guests who do
activities or use modes of transportation (not limited to land or water) not
sponsored or owned by Windermere release Windermere from all liability for
claims, known or unknown, arising from injuries, mental and physical, caused
and sustained by a guest. Further, such guest will reimburse Windermere, on
demand by Windermere, for the cost of any repairs to the Windermere premises
or property damage by guest through misuse, accident or neglect. All guests
under age 18 must have a completed official Windermere Medical Release Form,
given to Business Services upon arrival. Windermere staff can not provide first
aid or nursery service to guests that have not provided the required medical
release form. In this case, Windermere can only assist with life threatening
emergencies. |
|
Mail & Messages |
|
Messages may not be directly delivered to an individual, unless it is an
emergency. Messages are given to the conference coordinator to be delivered to
the guest. In emergencies, Business Services will work with the conference
coordinator to deliver the message as soon as possible. Messages taken after
office hours will be handled by security. Please do not give out the 800
number for messages. Messages should be phoned in on (573) 346-5200. A
message-waiting lamp will illuminate on phones in guestrooms when messages are
left at Business Services. Dial 0 and ask for the message to be read. Mail is
available for pickup after 12:00 p.m. |
|
Pets |
|
ABSOLUTELY NO PETS ARE ALLOWED ON THE GROUNDS, except within the RV
Park boundaries. Guests having pets outside the RV Park boundaries will be
asked to take their pets off site or vacate the grounds. |
|
Photography |
|
Please note that a photographer may be on site taking pictures of events and
activities at Windermere. These photographs may be used on our web site and in
promotional materials. |
|
Reservations |
|
If individuals and/or individual families are to make their own reservations,
then Windermere Reservations will require an individual/family deposit to be
made consisting of $10.00 per night per person or per family for each unit
reserved. Cancellation 30 or more days prior to arrival date will result in a
full refund of the individual deposit; cancellation less than 30 days prior
will result in forfeiture of the individual deposit. |
|
Rollerblades |
|
Rollerblades are allowed on the pool side of the lake only. Due to high
traffic, none are allowed on the office side of the lake. Full pads and helmet
must be worn. Skateboards, scooters, and roller skates are not allowed. |
|
RVs |
|
Campers, motor homes, and trailers may not be used as sleeping quarters when
parked anywhere other than in the RV lots. No automobile (car, truck, van,
etc.) may be used as sleeping quarters. |
|
Vehicles |
|
Observe posted speed limit signs. Campus speed limit is 15 mph and is
enforced. All passengers must be inside the vehicle in accordance with state
highway traffic laws. |
